The first host Saturday

A church that has never hosted a quiz often tries to become a tournament overnight. That is the wrong target. Your first job is to welcome other people’s children into a building you already know how to hold: parking, restrooms, a clock, and a kind table. The official program still owns the meet. You own the hallway.

This note is for a pastor, a coach, and a hospitality lead. It does not invent foul rules. It does not sell a practice Match as a sanctioned meet. Memr.is, pronounced memorize, is an independent practice tool. It is not a sanctioning body. If your official organizers have not asked you to host, do not invent a meet so the app has somewhere to go.

Become a coach is the on-site role description for the weekly hour. Meet day is a different hour. Keep them straight.

Confirm you are hosting a real meet

A sanctioned meet is one the official body recognizes. That body might be WPF Apostolic Bible Quizzing, UPCI Bible Quizzing, National Bible Bee, National Bible Bowl, Awana, or another organizer your church already walks with. Official about pages remain the door:

If no official asked you to host, you may still hold a practice night in your own fellowship hall. Call it practice. Invite your own team. Do not advertise it as Regionals.

Roles on the host team

Write names on paper the week before. A first-time host fails when everyone is “helping.”

Pastor or church lead. Blesses the building, greets visiting coaches, and stays free of the score table
Host coach. Knows which official is in charge and does not override them
Hospitality lead. Parking signs, water, a nut-aware snack table if the church allows food, and a quiet room for a child who is done
Check-in adult. Matches the official roster process, not a homemade spreadsheet that argues with it
Hall monitor. Keeps running in the hallway from becoming the meet
Parent liaison. Shows visiting families the restrooms and the watching place

A coach from your church should not also try to be the official unless the official body assigned that. For families reminds adults that the church still carries child protection. Safety and minor protections apply to any digital tool you open. Guardian consent is still a parent’s yes. There are no DMs to set up for meet day, and you should not create any.

Officials versus a practice app

Officials belong to the program. They bring the procedures that program already published. They make calls you will not relitigate in the foyer. If the rulebook is coming soon, as WPF has listed for 2027, you do not fill the silence with a blog’s invented fouls. You ask the assigned official how they want the room set.

A practice app belongs to practice. Memr.is can host a Match room for rehearsal on a Wednesday. That room is not this Saturday. Do not project the app on the sanctuary wall and call it the meet. Do not tell visiting coaches that your house rules come from a software preset. Do not let a six-character join code replace a credentialed official.

If you want a warm-up before doors open, warm up your own team in a side room. Keep pads and phones off the official floor until officials say so. How it works can wait until Monday.

Hospitality is the ministry visitors remember

Visiting children will forget your banner. They will remember whether anyone knew their name and whether the restroom line was kind.

Put a person in the parking lot who can point without sighing
Label the quiz room, the overflow, and the place parents may sit
Offer water. Offer a simple snack only if your church can do it safely
Keep a quiet corner for a student who is overstimulated
End when you said you would end, even if the last conversation is sweet

Do not make hospitality a second sermon. A printed half-sheet with arrows beats a long announcement. Thank the people who set chairs. Thank the people who put chairs away. First-time hosts often forget the second thank-you.

If another church hosted you last month, copy what helped you feel safe. Do not copy a ruling you did not understand. Officials can explain their own program.

Kids first

Meet day is for the students in the chairs. Adults can be tired later.

Speak to children at their height when you give directions
Do not joke about “killing it” or “getting destroyed” in a junior room
If a child is in tears, the mock courage of the room can wait
Clap for visiting teams as loudly as you clap for your own
Let officials handle the board; let parents handle coats

The parent room in Memr.is, if anyone opens it in the lobby, is a window rather than a gradebook. Meet day is a bad time to compare weekly minutes. Put the phone away unless you are the check-in adult and the official process needs it.

Kids first also means you do not invent extra pressure to make your first host Saturday look like a national stage. You do not owe anyone a cinematic lockout board. You owe them a safe building and an official meet, or a clearly named practice.

After the last round

Walk the building. Lost hoodies start fights that verses did not. Send visiting coaches away with whatever the official body requires and a spoken thank-you. Tell your own team the truth: we hosted, we were kind, we will practice again.
